Receptionist/Administrative Assistant

Duty Statement The Receptionist/Administrative Assistant is responsible for reception duties, both telephone and face to face, contact point of all VISA related matters amongst expatriates and ensuring the office runs smoothly with adequate supplies and completing all administrative tasks in an accurate and timely manner.


Key Responsibilities:
 Provide front desk reception duties for the office which includes handling of all phone calls and manage internal & external customers timely and professionally.
 Assist in General Office administration and in the coordination of ad-hoc company functions/events.
 Assist HR personnel in expatriates VISA related matters via online Immigration portal (i.e. ESD, MDEC).
 Maintain a proper and user friendly filling and document control system for recording and tracking of all documents.
 Develop and maintain a tracking system on all incoming & outgoing mails and courier items for the office.
 Collect and distribute all incoming mail and courier items.
 Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
 Assist in any ad-hoc duties, projects and activities as and when required.
 Provide full admin support to the team and department including relevant data-entry, documentation, printing and filling duties.


 Minimum in ‘A’ level or Diploma in any discipline.
 Ability to maintain accurate relevant records.
 Knowledge and experience in processing VISA/Immigration related matters via online service portal (i.e. MDEC, ESD).
 Possess good understanding and knowledge in document control and management.
 Pleasant personalities, mature, with good written and verbal communication and interpersonal skills.
 Able to work fast under pressure.
 Professional, mature with an attention to detail is preferred.
 Abilities to multi-task and work independently.
 Proficient in MS Word, Excel and Powerpoint applications is highly preferred
